Without it
- Invoices are typed up at the end of the week, and some flights never get billed.
- A student's prepaid hours are tracked in a spreadsheet beside the invoices.
- Month-end means re-entering every payment into QuickBooks.
What Billing & Payments does
Invoices at check-in
The flight is priced from your rates the moment it is checked in: aircraft, instructor, fuel, fees and tax, with the member's tier and packages applied. A preview at check-in shows the invoice before it is created.
Card, ACH and autopay
Card and bank payments, saved payment methods and autopay, through Stripe or Square. Members pay from their account or a pay-by-link. Card surcharges, where you charge them, are shown before the member pays.
Prepaid packages and memberships
Hour, dollar and flat-rate packages are applied to invoices automatically. Membership fees and member pricing tiers for students and renters. Prepaid hours hold the rate they were bought at.
Instructor pay and leaseback
Instructor earnings and payouts with 1099 totals, and monthly owner statements for leased aircraft. Aircraft partnerships split shared costs among co-owners.
QuickBooks and sales tax
Invoices, payments and sales tax synced to QuickBooks Online. Tax rules for each location and each kind of charge, with member exemptions. VA benefit tracking for approved schools.
