Without it
- Shirts and logbooks are sold from a shelf and a notebook, and the count never matches.
- A student pays for a headset at the desk, then again on an invoice nobody linked to it.
- With two locations, nobody knows which shelf has the medium shirts until someone drives over.
What School Store does
A storefront your members already have
Products with photos, descriptions, sizes and colors, sorted into categories with a search box and a page for each product: more photos, a size chart, and what is in a kit. Mark a product staff only, or limit how many each member can buy. On the web, iPhone and Android.
Pay now, or put it on the account
The cart shows the subtotal, the sales tax and the total the invoice will carry. Where you take cards online, members pay at checkout on the invoice's payment page; or they put it on their account and pay it like any other invoice. Staff can add store items to an open invoice too.
Sell at the counter
Ring up a sale for a member or a walk-in customer, with the member's tax exemption and limits applied, and take the payment there and then: record it, charge the card on file, or open the payment page.
Kits and training suggestions
Sell a starter kit at one price and the stock comes off each item in it. Suggest a product or kit to students in a training program, or only while they are at one stage of it.
Stock at each location
Track stock and each sale takes from the count; selling stops at zero. Keep a count on each location's shelf, move stock between them, and let members choose where to pick up. Sales tax can follow the pickup location's rate. Off until you switch it on.
Orders, reports and reorders
Staff mark each order ready, and the member is told; then picked up. Reports show sales and margin by product and month, stock value and what to reorder, and staff are told when a counted product runs low. Fees you don't tax, such as checkride fees, are sold and reported untaxed.

Questions
Do members pay at checkout?
They can. Where your school takes cards online, Pay now opens the invoice's payment page, by card, saved card or account credit; Put it on my account raises the invoice to pay later. Without online card payments, checkout raises the invoice on their account.
How is sales tax worked out?
From your Billing settings: your default rate, or the pickup location's rate if you choose that. A member marked tax exempt pays none. The cart shows the tax before checkout.
Can we sell fees that aren't taxed?
Yes. Untick Charge sales tax on the product. Its invoice line is untaxed, and the tax report and QuickBooks count it as a non-taxable sale.
Do we have to count stock?
No. Counting is a tick box on each product. Without it, a product is available or sold out by hand.
We have two locations. Can each keep its own stock?
Yes. Switch on stock at each location and every product's count starts at your default location, so no totals change. Members then pick where they'll collect, and each location sells what is on its own shelf.
What happens if an order is cancelled?
Its invoice is voided and the items go back on the shelf they came from. An invoice that has been paid has to be refunded first.
Who can manage the store?
Owners, org admins, staff and chief instructors. Stock at each location is switched on by owners and org admins.
