Run the shop floor and the front counter in one place

Flight Suite MX is shop software for A&P shops and repair stations that work on customers' aircraft: jobs, estimates, time, parts, logbook entries, billing, and the customer relationship around all of it.

Sound familiar?

  • An estimate goes out by email and the approval comes back as a phone call nobody wrote down.
  • Hours are on a paper timecard, parts are on a whiteboard, and the invoice is built from memory.
  • A customer asks where their aircraft is, and the answer depends on who picks up the phone.

What you get

Jobs that move themselves

Start a job from a tail number. The FAA registry fills in the aircraft, and each job runs through intake, estimate, approval, work, sign-off and billing.

  • A board from Received to Invoiced, where cards move as the work does
  • Intake photos, and pre-work and post-work checklists of your own
  • A bay calendar that checks wingspan, length and height and never double-books a bay

Estimates customers approve online

Send an estimate by email and text in one press. The customer approves all of it, or line by line, and change orders go the same way.

  • Every approval recorded with who approved what, and when
  • Progress bills and a deposit on long jobs, credited on the final bill
  • Card and ACH through Stripe, or cards through Square, paid into your own account

Time, payroll and parts

Mechanics clock on to a job or a single labor line from a phone, the shop PC or a PIN kiosk on a hangar tablet.

  • Timesheets with overtime per workweek, exported for payroll (we calculate it; we never pay anyone)
  • Stock by warehouse, purchase orders, and a ledger of where every part went
  • A warning when a part has no 8130-3

Records done from the work

Logbook entries are drafted from the work order, one per book, following 14 CFR 43.9 and 43.11, and a signed entry is never edited, only superseded.

  • A pre-filled Form 337 draft for major repairs and alterations
  • Return to service recorded on the job

A shop CRM, built in

Your customer list works as a CRM: columns, segments, tags and where each customer came from, with follow-ups that land on your Today screen.

  • A quote pipeline and CRM reports
  • Two-way messages on each job, with replies by text and email in one conversation
  • Customer requests, a customer portal and reminders for what is coming due
  • Consent recorded with its wording and time; STOP is honored; customer messaging is off until you switch it on

Your day on one screen

Today shows the decisions due, work in progress, money owed and unread customer messages, so the counter and the floor see the same thing.

  • Shop invoices use the same payments, refunds and QuickBooks sync as the rest of the platform

How it goes

  1. Ask for Shop Mode: A flight school, club or FBO switches it on for its existing account. A standalone shop signs up as a maintenance shop, and we approve the account and switch Shop Mode on.
  2. Set up the shop: Add your labor rates, bays, shop hours and checklists, and connect Stripe or Square to take payments.
  3. Start your first job: Enter a tail number, let the registry fill in the aircraft, and send the estimate.

See how each part works

What it costs

Shop Mode is $69 a month per organization, on top of the base subscription of $15 per aircraft and $0.50 per active user. A flight school's maintenance on its own fleet (ADs, inspections, squawks and work orders) stays in the base price. Work out your price.

Questions

Do we have to be a flight school to use it?

No. A standalone shop gets a shop-only account, without students, a schedule or memberships. A school, club or FBO that also works on customers' aircraft can switch Shop Mode on in the account it already has.

Can we sign up and start straight away?

Sign up as a maintenance shop and we approve the account and switch Shop Mode on. Until then, you can look around a sample school.

Is our own fleet's maintenance part of Shop Mode?

No. A school's ADs, inspections, squawks and work orders on its own aircraft are in the base price. Shop Mode is for work on customers' aircraft.

Will customers get texts we did not mean to send?

No. Customer messaging is off until you switch it on, texts go only to customers who agreed to them, and STOP is honored. There are no group texts from the shared number.

Does it work with QuickBooks?

Yes. Shop invoices, payments and sales tax sync to QuickBooks Online the same way as every other invoice in the platform.

Does it pay our mechanics?

No. It works out hours and overtime and exports them for payroll. Paying people stays with your payroll provider.
